Our Technology Commercial and Workforce Planning Team is responsible managing our vendor relationships, payments, licencing, and cost control. Working closely with diverse stakeholders across our IT portfolio of over 900 staff, the team are drive cost reduction, improve efficiencies, optimise workflows, and promote continuous improvement throughout our technology initiatives.

As a Project Administrator in the team, you will be responsible for creating purchase orders, invoice reconciliation and payments process, ensuring we are timely and accurate in the payment of our suppliers, whilst maintaining cost ownership correctly within our technology portfolios.

 

What you’ll be doing

  • Raising high volume of purchase orders within a tight timeframe
    Reconciling invoices, obtaining approvals to pay invoices, liaising with offshore accounts payable team and providing updates to suppliers
    Supplier registration.
  • Ensure adherence with strict cost-control processes, ensuring accuracy and accountability within the technology portfolio.
    Actioning multiple, high volume, accounts enquiry inboxes.
  • Accurately ensuring the processing of annual Operational Expenditure in the tens-of-millions including co-ordination with Finance team on journals required to the different legal entitites.
  • Engaging with a diverse group of senior managers throughout the technology group to ensure accuracy and compliance of the organisation’s tech spend.
  • Working within a tight-knit Commercial team to drive improvements to our processes and systems and identify opportunities for better efficiencies in our technology spending.

 

To be successful in this role you’ll have:

  • Bachelor’s degree in business administration, Finance, or related field, or significant prior experience in a similar role.
  • Demonstrated experience in a high-volume, accounts administration role and the ability to context shift, managing a high number of due invoices throughout a complex approval and payments process.
  • Sound knowledge of enterprise procurement and payments systems, particularly SAP  and SAP Ariba.
  • Outstanding communication skills and a pro-active approach to stakeholder engagement.
