Join the team
We’re looking for an Executive Assistant to join us on a 12-month, fixed-term basis, to support senior leaders across our Merchandise division, including the GM Apparel and Design, as well as several Divisional and Business Managers and the Head of Design and Forecast. In this fast‑moving environment, you’ll become the central coordination point helping leaders and teams stay organised, informed and ready for each day.
This role sits at the heart of the Merchandise function, where priorities shift quickly and no two days look the same.  You’ll support multiple leaders with busy and often competing diaries, and keep everyone on track in an environment that changes daily.
You’ll coordinate meetings, manage room bookings and respond to shifting plans throughout the day. You’ll also organise travel for Merchandise teams, including flights and accommodation via FCM.
You’ll also process invoices in SAP Finance S4/Hana, manage expenses through flexi‑purchase, reconcile credit cards and ensure reporting is accurate for Finance. You’ll also coordinate invoices for freelance designers and vendors, and support a range of day‑to‑day queries across stationery, equipment and basic SuccessFactors HRIS updates. With each category working differently, you’ll quickly become the trusted central contact for questions coming from all parts of the Merchandise team.

What you’ll be doing
Â
- Managing busy and complex diaries across multiple senior leaders.
- Assist in coordinating the Merchandise Calendar including supporting Total Product Review (TPR) meetings.
- Preparing leaders for daily meetings, product reviews and presentations.
- Organising room bookings and responding to last‑minute changes.
- Coordinating travel and itineraries for Merchandise teams using FCM.
- Processing invoices, coding and approvals through SAP Finance S4/Hana.
- Supporting expense management, credit card reconciliations and reporting.
- Assisting freelance designers, vendors and category teams with operational queries.
- Providing general administrative support across eight different product categories.
- Being the central point of contact for day‑to‑day questions and requests.\

You’ll bring exceptional organisational and time‑management skills — these are the two core strengths needed to thrive in this role. You’ll be comfortable working at pace, juggling multiple leaders and shifting priorities, and staying calm when things move quickly. You’ll have strong written and verbal communication skills, a proactive mindset and the ability to anticipate what’s needed next.
Experience supporting senior leaders in a complex or fast‑paced environment will be highly valued. Confidence with Outlook, Teams and the broader Microsoft Office suite is important. Experience with SAP or finance systems is an advantage, as is familiarity with SuccessFactors, though not essential.
